The USPS Mailing Agreement

The USPS Mailing Agreement is for calligraphers and stationers who are mailing invitations through USPS for their clients.

The most nerve-wracking part of a stationery job for us is mailing the beautiful invitations we create on behalf of my client. There are so many bumps in the roads and things that can go wrong when the invitations are being mailed through USPS. These are all things that you CAN NOT control, so why leave the burden of fate up to USPS? Protect yourself with this mailing agreement template so that your client understands exactly what could happen to their invitations in the mail and how those situations are handled (aka, the fault will not be on the vendor or the person that mailed them).

Why isn’t this part of The Custom Stationery Contract template?

This goes way more in depth than the shipping clause from the custom stationery contract! This document allows you to set your clients expectations accurately, resulting in a stress-free mailing situation. This was intended to be sent separately as a sub-contract when it’s time to mail invitations, not as part of the original contract you have your clients sign. Why? Because you want it to be fresh in their mind! Not information that’s months old (and most likely forgotten or unread). 

Can I use this if I’m outside of the US? 

Absolutely! The meat and potatoes of the contract can be applied to any country — you’ll just need to swap in your country’s respective mailing services in place of USPS, add any clauses you feel necessary, and consult with a local lawyer to ensure it’s up to snuff for your country.

Why do I need this if I already have a USPS/shipping clause in my main contract? 

This goes way more in depth than your average shipping clause. A shipping clause in a main contract normally covers what happens when you’re shipping invites/items in a box to your client, not necessarily mailing invitations on their behalf. 

Won’t my client be upset if I require them to sign yet another agreement?

Definitely not! Here’s the deal with clients: If you’re you feel like you’re overcommunicating, you’re doing it right. Your clients are counting on you to know what you're doing, and take care of them during the process. 

USING THIS TEMPLATE:

This is template and not a custom document created specifically for your business. Within the contract you may find that not everything applies to you (feel free to delete) or that you want to include something else (feel free to add it). This template is meant to serve a base guideline to send to your clients when you are mailing any sort of stationery for them through USPS, or your country’s respective postal service. We recommend using some sort of online CRM to send this agreement to your clients, whether that is Dubsado, HoneyBook, or something else. 

This document is written with multiple spots that require a client’s initials, and one spot at the end that requires a client’s signature. You do not have to keep this layout if you do not choose, but requiring your clients to initial things along the way may make them read everything a little more carefully.
